Refund Policy

This Refund Policy explains how Cotswolds Expeditions Ltd ("we", "our", "us") processes refunds. It should be read together with the Terms & Conditions and Cancellation Policy, which set out when a customer may be entitled to a refund.
1. Relationship with the Cancellation Policy
The Cancellation Policy forms part of the booking contract and determines the financial consequences of customer cancellations, late arrival, no-shows and cancellations by Cotswolds Expeditions Ltd.
This Refund Policy does not create a separate or additional right to a refund where the Terms & Conditions or Cancellation Policy do not provide one. Nothing in this policy affects statutory consumer rights.
2. Customer Cancellations
Where a customer cancels a booking, any refund will be calculated in accordance with the Cancellation Policy applicable to that booking.
Any amount retained following cancellation will be limited to the cancellation charge and actual non-recoverable costs permitted under the Cancellation Policy and applicable consumer law. The same loss will not be charged twice.
3. Cancellation by Cotswolds Expeditions Ltd
If Cotswolds Expeditions Ltd cancels a tour because it cannot provide the booked experience and a suitable alternative date or replacement arrangement is not accepted, the customer will normally receive a refund of the amount paid for the affected Cotswolds Expeditions Ltd booking.
Where a mechanical breakdown occurs, Cotswolds Expeditions Ltd may first seek to provide a suitable replacement vehicle. If the tour cannot proceed and no acceptable alternative is provided, the booking payment will be refunded.
Refunds will not include independent travel, accommodation or other arrangements that were not purchased from Cotswolds Expeditions Ltd, except where liability cannot legally be excluded.
4. Significant Changes to the Booked Experience
Routes and individual stops may need to change because of weather, road closures, traffic, safety concerns, vehicle breakdown, emergencies or other operational circumstances. Reasonable route or stop changes do not automatically create a right to a refund where the main experience can still be provided.
If Cotswolds Expeditions Ltd makes a change that materially alters the main nature of the booked experience before departure, the company will discuss the available options with the customer. These may include accepting the revised experience, moving the booking to another date, or an appropriate refund where the contracted service cannot be provided.
5. Weather
Poor weather alone does not create a right to a refund where the tour can still operate safely and reasonably.
If Cotswolds Expeditions Ltd decides that conditions are unsafe and cancels the tour, the customer will be offered the options set out in the Cancellation Policy. The decision as to whether a tour can safely operate rests solely with Cotswolds Expeditions Ltd.
6. Child Car Seats and Unsafe Participation
Where a customer has been told that a suitable child car seat is required and arrives without a compliant seat that can be safely fitted using the Defender's standard three-point seat belt, the affected child cannot travel. Failure to comply with a stated safety requirement can result in refusal of participation without refund, where the failure is attributable to the customer.
Where a customer arrives intoxicated, in possession of or using illegal drugs, or otherwise in a condition that makes safe participation inappropriate, Cotswolds Expeditions Ltd may refuse the tour. Any refund will be determined under the Cancellation Policy and no refund will ordinarily be due where participation is refused because of the customer's own unsafe conduct.
7. Partner Offers and Expedition Pass Benefits
Partner businesses may change opening hours, availability or offers without prior notice. The unavailability or withdrawal of an individual Expedition Pass offer does not normally create a right to a refund for the main Cotswolds Expeditions Ltd booking unless that benefit formed a material part of the service specifically sold to the customer
Bookings may be made through authorised third-party booking or distribution platforms. Where payment was taken by a third-party platform, the refund may need to be processed through that platform and may be subject to its payment-processing procedures.
The amount of any refund remains subject to the applicable booking terms and statutory rights.

9. How Refunds Are Paid
Direct website payments are processed by Stripe. Approved refunds for direct card payments will normally be returned through Stripe to the original payment method for fraud-prevention and reconciliation purposes.
Once a card refund has been initiated through Stripe, it typically takes 5-10 business days to appear in the customer's account, depending on the customer's bank or card issuer.
If the original payment method is unavailable or a third-party booking platform controls the transaction, the appropriate refund method will depend on the payment channel used for the booking.
10. Duplicate or Incorrect Charges
If a customer believes they have been charged twice, charged the wrong amount, or received a refund for an incorrect amount, they should contact Cotswolds Expeditions Ltd so the transaction can be checked and corrected where necessary.
